Responsibilities
This position serves as the College of Law Event Manager, assisting with all aspects of non-alumni event planning and room scheduling at the College. Responsibilities include overseeing receptions, seminars, meetings, conferences, lectures, symposia, onsite competitions, and outreach programs to ensure they meet the strategic objectives of the College. Manages comprehensive event planning, including venue reservations, catering arrangements, photographer bookings, parking and transportation logistics, permit acquisition, equipment and entertainment organization, preparation of event signage and promotional materials, seating chart development, production of name tags, and facilitation of special requests. Responsibilities include:
COLLEGE EVENT LEADERSHIP AND POLICY: Serves as event manager for all College of Law events, assisting in all phases of event management wherever it is needed to include faculty, student, and staff events. Manages logistics such as schedules, budgets, marketing, travel, guest lists, invitations, and staffing for events. Coordinates with colleagues to clarify expectations and event details. Recommends and implements policies on all manner of events for the college. Maintains updated policies and procedures document in SharePoint to guide students and departments in event planning. Development of college policies for events and classroom use and scheduling and responsible for timely communication of expectations to college community. Provides guidance and additional support related to events. Understand and interpret policies on university space use, events, security, and others to ensure safe and appropriate event planning needs.
EVENT PLANNING AND COORDINATION: Responsible for managing Dean receptions and events, retirement celebrations of Dean's team and other events as directed by the Dean. Works collaboratively with Dean's Office personnel to supply detailed pre- and post-event information for press releases, media communications, and to facilitate proactive engagement with university, college, and external stakeholders. Oversees post-event responsibilities including gathering participant feedback, extending appreciation and feedback to vendors, processing invoices, monitoring expenses, and assisting with donor acknowledgment statements. Responsible for events and visits involving but not limited to outside groups such as other FSU colleges, and community partners such local judges/attorneys. Additional events management as needed for activities related to the college committees and events scheduled within college buildings, including (but not limited to) the Summer for Undergraduates program, commencement, New Student Orientation, and the D'Alemberte & Palmer Lecture in International Human Rights. Arranges for and reserves appropriate supplies and services needed for events. Determines event layouts, maps and diagrams for event set up.
COLLABORATION: Liaisons with various COL departments including Facilities Building Operations, IT staff, Dean's Staff, and Communications to ensure all details related to IT needs, staffing, parking, delivery and removal of tables and chairs and other tasks are covered for events being held at the college. Facilitates communication with Communications to ensure awareness about all events taking place at and for the College. Coordinates calendar of events with the CoL Alumni Relations so as not to overlap major events. Promotes an atmosphere of teamwork in accomplishing the mission & goals & the strategic initiatives for the division and strong relationship with Dean's team for event partnership, to include but not be limited to delivery of administrative & academic services for special projects or in meeting key departmental deadlines.
ADMINISTRATIVE: Responsible for reservations and usage of the College of Law space used by students, faculty, and staff, ensuring such ancillary items remain in good condition and are maintained and repaired/renewed, as needed. Position may require occasional travel, evening and/or weekend hours for special events and runs occasional errands for the previously mentioned offices requiring the operation of a motor vehicle. Responsibility for understanding fiscal policies and ensuring necessary approvals and budgeting procedures have been followed. Performs other related duties as required to ensure the efficient operation of the office.
Qualifications
Bachelor's degree and four years of experience; or a high school diploma/equivalent and eight years of relevant experience. (Note: a combination of post high school education and experience equal to eight years.)
